How to organise call handling in a sales team

A useful call flow starts with clear ownership and rules. The approach below is an example you can adapt to your team.

Map the enquiry journey

Write down what happens from the first call to the next action. For example, a customer calls, an available employee answers and someone is assigned to follow up. This is a workflow example, not a promise of a particular PBX or CRM feature.

Define exception handling

Reviewing exceptions can reveal gaps in enquiry handling. Assign ownership for each situation.

  • Everyone is busy: who owns the next action?
  • A call was missed: who reviews it and follows up?
  • The manager is absent: who covers and understands the enquiry?

Specify the information needed in CRM

Agree a minimum set: owner, conversation outcome and next action. Decide what employees enter themselves and what should come from telephony. Automatic data exchange and its scope require confirmation for your connection.

Test the workflow with examples

Before launch, assign roles and walk through a normal call, busy handling, missed calls and a request for another department. After launch, review actual workflow problems with the team. Agree changes to rules and technical configuration together.
